Choose one label format — and only one
Two-inch square with a QR code, a human-readable ID underneath, and no more than 10 characters. That's it. Not a barcode (they don't scan reliably on a curved surface), not a QR + barcode (redundant), not a tag with your logo (the logo weathers first). One format across the whole register makes the scanner workflow trivial and the placement rules teachable.
Adhesive matters more than the label
3M 468MP transfer adhesive on a polyester face stock survives -40°C to +150°C, most solvents, and 5 years of UV. Cheaper adhesives peel within a season on outdoor plant. Do not economise here — a peeled label is an untagged asset, and an untagged asset is a lost asset in three years.
Placement rules that make scanning fast
Always in the same location on the same asset class. For vehicles: driver-side B-pillar at eye level. For tools: on the handle, away from the working end. For fixed plant: on the front control panel. Consistency is the point — a technician should never have to search for the tag. Every second saved per scan is a second saved every time that asset is touched.
The QR encoding standard
Encode a URL, not just an ID. `https://your-domain/a/AB12CD` beats `AB12CD` because any phone camera opens it directly to the asset record, no app needed. Keep the URL short (under 30 characters) so the QR stays at ECC level M and remains scannable through grease and abrasion.
Re-tagging cadence
Audit tag condition annually. Any tag showing edge lift, fading, or scan latency over 2 seconds gets replaced immediately. Budget for a 5–10% replacement rate per year — it's a rounding error against the value of a live register, and it prevents the slow decay that kills most asset systems.
One format, real adhesive, consistent placement, and a URL in the QR — those four rules keep an asset register alive across decades. e-Kwip's QR check-in/out flow assumes exactly this standard.
