Duty of care sits with you, even when the waste has left site.
WasteVault keeps transfer notes, carrier licences and consignment records together, so the paperwork exists before anybody asks for it.
- Who it's for
- Any operator with waste transfer and duty-of-care obligations
- What you should see
- Every movement backed by a valid, in-date transfer record.
All access managed securely via your Nightingale Admin Centre.
Does any of this sound familiar?
These are the situations WasteVault was built to remove.
Transfer notes go missing
Paper copies live in cabs, folders and drawers, and cannot be found two years later when they are needed.
Carrier licences expire unnoticed
Waste leaves with a carrier whose registration lapsed months ago.
Hazardous consignments are handled inconsistently
Different sites record consignment notes different ways, or not at all.
Reporting takes days to assemble
Tonnage and disposal reporting is rebuilt by hand from invoices and paperwork.
No visibility of what leaves each site
Waste volumes, streams and costs are only visible after the invoice arrives.
How WasteVault fixes it.
Three steps. No implementation project required.
- 1
Register carriers and sites
Hold carrier registrations, permits and site details with their expiry dates in one register.
- 2
Record each movement
Transfer and consignment notes are captured at the point of collection, with signatures and photos.
- 3
Report and retain
Produce duty-of-care evidence and tonnage reporting for any site and date range.
What you get out of it.
Five things a business owner cares about, and what each one looks like in practice.
Paperwork that files itself
Notes are captured at collection rather than typed up later.
Waste cost you can question
Volumes by stream and site make supplier conversations evidence-based.
No uncovered movements
Expired carrier registrations flag before the collection, not after.
One register across every site
Every movement, carrier and stream in a single searchable record.
Duty of care evidenced
Retained transfer and consignment records, available on request.

We'd rather show you real ones.
WasteVault is a young product and we won't publish quotes we haven't earned. Customer stories will appear here as early customers agree to be named — with their own words and their own numbers, not ours. Until then, the free tier is the honest way to judge it: run it on real work for a fortnight and see what changes.
Happy to be an early reference customer? Tell us on the contact form and we'll talk about what that looks like.
WasteVault questions, answered.
Everything you need to know about Starter, scaling up, and optional onboarding.
What's included in the free Starter tier?+
Starter is free forever for a single site with a generous fair-use allowance, pre-built WTN/DoC/Audit folders, full version history and a complete audit trail. Enough for small operators to stay Duty of Care compliant at no cost — no card required.
How does Pro pricing work?+
Pro is £49 per site, per month, with reasonable storage included. You pay per site, not per gigabyte, so you can keep every Waste Transfer Note, Duty of Care record and audit document without worrying about hitting a storage cap. Includes per-site and per-user permissions, branded invite emails and priority support.
When do I need Enterprise?+
Enterprise is custom priced and adds multi-brand reporting, advanced retention policies, enterprise compliance controls, SSO/SAML, a signed SLA and DPA, and a dedicated success manager — for multi-site, regulated, high-volume waste operators and carriers.
Will it satisfy Environment Agency requirements?+
Yes — WasteVault is designed around the EA's Duty of Care record-keeping requirements, with 2-year retention by default and immutable audit trails for every document.
How do I find a specific transfer note or Duty of Care record?+
Search across every site by document name, EWC code, tag, carrier, site or folder. Filters narrow the result set instantly so auditors get answers in seconds instead of a fire drill.
Does it work alongside the rest of the Nightingale stack?+
Yes. WasteVault sits alongside CleanNest (weighbridge & operations), Rampify (vehicle checks) and Rekuver (demurrage recovery) under one Nightingale account and one consistent experience.
Is there an onboarding fee?+
No fee on Starter or Pro. Larger migrations from paper or shared drives can opt into an implementation package (£1,000–£5,000) covering bulk import and team training.
