## 1. Purpose
This policy sets out what [Company] will reimburse, the rates we apply, and how to submit a claim. It is short by design.

## 2. Who it covers
All employees and approved contractors of [Company].

## 3. What you can claim
- **Travel** — public transport at standard fare, taxis/ride-share when out-of-hours or with luggage.
- **Mileage** — at current HMRC AMAP rates (45p first 10,000 miles, 25p after) for use of personal vehicles on business.
- **Subsistence** — reasonable meals when travelling for work; £[X] breakfast / £[Y] lunch / £[Z] dinner caps.
- **Accommodation** — pre-approved bookings only; no upgrades.
- **Home-office equipment** — one-off £[250] setup + £[100] annual top-up.
- **Software / AI tools** — only from the [approved list]; otherwise pre-approval required.

- Alcohol (unless part of an approved client entertainment event)
- Personal items, fines, parking penalties
